How to set up your IVR phone system in Dialpad

  1. Open Admin Settings > Departments > Business Hours & Call Handling > Call Routing, then choose “Edit Call Routing”.

  2. Here, you can upload or record your welcome greeting and IVR menu options, such as connecting to a department or leaving a voicemail.

  3. Next, you need to create your call flow. Look at the data from previous customer interactions to identify the main reasons people call you. You need to make your IVR menu as efficient as possible so customers can quickly get the help they need.

  4. To configure your menu, select “Other Routing Options”, then “To an automated response menu”. You can then choose the action for each key.

For example, option one could be “Forward to a department”, option two “Recorded message”, and option three “Request a callback”. You can also choose which department or person to route the call to and which pre-recorded messages to play.

How does an Interactive Voice Response system work?

Modern VoIP services or collaboration platforms like Dialpad have interactive voice response technology built-in. Whenever someone calls your business, the IVR answers it automatically and plays a recorded message of the different routing options.

For instance, “Press one to check your account balance, press two for customer support, press three to leave a voicemail (and so on).”

Most IVRs use dual-tone multi-frequency (DTMF) or touch-tone technology, so the caller chooses the service they need by entering the corresponding number in their keypad. Some IVRs, though, use natural language processing (and voice recognition) to enable callers to choose an option using a voice command.
