  • What is an online meeting?

Essentially online meetings are just meetings that you have using the Internet. These can be audio or video meetings, You might’ve also heard friends and colleagues call them virtual meetings or video meetings.

What all of these have in common is the fact that they’re all about connecting people who are physically located in different places. If you’re making actual phone calls online, these happen via VoIP (voice over Internet protocol) and really only need an Internet connection to get made.

Depending on the online meeting software you’re using, you can have lots of different kinds of online or virtual meetings. The key is that online meetings are always a virtual substitute for in-person meetings—meaning that there’s just as much variety in virtual as in face-to-face meetings.

  • How do online meetings compare to face-to-face meetings?

This depends on the type of software you’re using. Generally speaking, the average conferencing tool or video call software lets you host online meetings that get pretty close to the face-to-face experience.

If you have a distributed or remote team, this is the next best thing. If your meeting tools have things like HD video functionality and a built-in messaging or chat system, even better.

  • How do I make a meeting online for free?

Whether you just want to have a video chat with your team or host a large-scale video conference, it’s always a good idea to try out the free version or trial first.

The easiest way to make a meeting for free is, of course, to sign up for Dialpad Meetings’ free plan. It takes just seconds, and you’ll get free web conferencing including both video and audio conferencing after you sign up.

  • How do I join a free online meeting?

Joining meetings on a desktop computer

Depending on your web conferencing software, you can join meetings on a computer without needing to download or install any apps as long as you have a browser like Chrome or Safari. (Which you can do with Dialpad.)

Alternatively, you can join using the desktop app, but generally all you need to do is ask the meeting host to send you an invite. This will arrive in the form of a link sent to you via email or SMS. Then you just need to click the link, and boom—you’ll have joined the meeting.

Joining meetings on an Android device

Android users can also join Dialpad Meetings via their mobile device. All you have to do is download Dialpad’s Android mobile app.

Quick tip: Always try the apps first—some providers might say they have an Android app, but the functionality of the video conferencing solution may not match up to their iOS app or desktop app experience.

Joining meetings on an iOS device

Dialpad has an iPhone app too, if you want to be able to do video conferencing on your phone. iPhone users running iOS 7 and above can use Dialpad’s iOS app.

The benefit of using a free online meeting software that has apps across iOS and Android, especially for a small business, is that you won’t have to invest in company phones for every employee. Everyone can just use the mobile device they already have.

  • Does online conferencing really improve workplace productivity?

Web conferencing absolutely boosts workplace productivity, especially in the kinds of remote work environments many of us now find ourselves in (thanks, global pandemic).

Virtual meetings let you stay connected with your team members and manager no matter how far apart you might be, and often come with excellent collaboration tools. For example, if you need digital whiteboarding as part of your meeting solution, there are tools that let you whiteboard with your team while on a video call.

  • How secure are free online meetings?

Short answer: it depends on what you use. Dialpad’s free online meetings benefit from excellent security features to help prevent random strangers from “Zoom-bombing” their way in (basically when strangers somehow get access to your meeting link, join your video calls, and disrupt them).

With Dialpad’s free plan, you can set PINs for your online meetings and lock your meeting rooms to keep them secure.

  • How many participants can join a free online meeting?

Depending on which free video conferencing software you’re using, you can have anywhere from just two to 10 or more participants in your virtual meeting or conference room.

This makes free online meeting tools ideal for small businesses and startups, which might not have the funds to invest in a more expensive plan from the get-go.

If you need hundreds or thousands of participants in online meetings or run lots of webinars, then you’ll likely have to look at paid plans, which will bump up your meeting participant limit (along with giving you extra “nice-to-have” features like phone calling and toll-free numbers).

  • When should I consider a paid video conferencing solution?

Large-scale conferences tend to involve bigger groups of people. The same holds true for department-wide video meetings, as well as office-wide briefings. If you need to be able to have 100 meeting participants, for example, you’re probably going to need to look at a paid video conferencing solution.

Dialpad’s paid plans give you access to a whole host (forgive the pun) of features for you to use during your video calls.
