What is a business phone number?
A business phone number is a dedicated line that customers, prospects, vendors, and partners use to reach your company, separate from any employee's personal number. It can be a local, toll-free, or international number, and it can belong to one person or be shared by a team, such as a main line or support department.
A dedicated number gives customers one consistent way to reach you. It keeps business calls off personal phones, and it stays with the company when people change roles or move on.
With Dialpad, your business number also connects to the rest of your customer conversations. Calls, messages, and meetings run in one app on one set of customer data, so what customers tell you on the phone becomes conversation intelligence your team can use to make better decisions.
How do you get a business phone number?
You can get a business phone number from a cloud phone provider in four steps:
Choose a provider and plan: Look for the number types, calling coverage, and features your team needs. With Dialpad, you can start a free trial and have a working number in minutes.
Pick your number type and area code: Choose a local area code your customers recognize, a toll-free number, or an international number.
Assign the number: Give it to an individual user or to a shared line, such as a main line, department, or contact center.
Set up routing and voicemail: Decide where calls go during business hours and after hours, and record a greeting.
Already have a number?
You can keep it. Number porting transfers an existing number from your current carrier to Dialpad, so customers keep calling the number they already know. Before you start, request a Customer Service Record (CSR) from your current provider. It lists the account details the port request needs, and getting those details right up front helps avoid delays.
What types of business phone numbers are there?
Local numbers
A local number uses an area code tied to a specific city or region. Customers often recognize local area codes and are more likely to pick up. That makes local numbers a practical choice for businesses that serve specific communities or operate in several locations. In Dialpad, you can add local numbers to individual users or to shared lines.
Toll-free numbers
Toll-free numbers, such as 800 or 844 numbers, let customers call you at no cost to them. Businesses often use them for national support lines, marketing campaigns, or a single number customers can call from anywhere in the country. In Dialpad, toll-free numbers are assigned to shared lines like a main line or department, and vanity numbers are available for US and Canadian toll-free numbers.
International numbers
International numbers give customers in other countries a local way to reach you and help establish your presence in new markets. Requirements vary by country. Some countries require documentation, such as a registered address or business registration, before a number can be activated. Dialpad also supports international calling from the same app you use for domestic calls.
What's the difference between a business phone number and a virtual phone number?
A business phone number describes what the number is for: your company's communications. A virtual phone number describes how it works. It runs over the internet instead of being tied to a physical line or a single device.
Many business phone numbers from cloud providers are also virtual numbers, which is why you can use the same number on a laptop, a mobile app, or a desk phone. For teams setting up their first small business phone number, a virtual number is often what replaces personal cell phones as the company's main line.
Route calls to the right person or team
A business number is only as useful as where its calls end up. Dialpad's business phone system lets you set routing rules for your main line and departments, with separate rules for open and closed hours.
Auto attendant and IVR: Greet callers with a menu that routes them by department, name, or extension.
Business hours and holidays: Send calls to a different destination when your office is closed.
Departments and shared lines: Ring a group of operators so incoming calls don't depend on one person being available.
AI receptionist: Route calls to an AI answering service after hours or during busy periods, so callers get an answer even when your team is unavailable.
Voicemail transcription: Read voicemails as text instead of listening to them one at a time.
Call and text from one number on any device
Your business number works across the Dialpad desktop, browser, and mobile apps, as well as supported desk phones. With call flip, you can move a live call from your computer to your phone without hanging up.
You can also send and receive SMS and MMS from the same number. Customers who prefer to text can reach you on the number they already know, and the conversation stays in the same business phone app as your calls.
Turn business calls into operational insight
Dialpad developed its UCaaS and CCaaS products natively on a shared foundation. Calling, messaging, meetings, and contact center work share one app and one set of customer data, rather than being packaged from separate products. That shared foundation means your business number does more than connect calls. It gives your team a clearer view of what customers need.
Live transcripts: AI transcription captures what's said during the call, so no one has to take notes while talking with a customer.
Call summaries and action items: AI Recaps summarize the conversation and track next steps after the call ends.
Call analytics: Call analytics show answered, missed, and abandoned calls across your office, departments, and team members, so you can see where calls are going and adjust routing or staffing.
Teams that need live sentiment analysis and keyword tracking can add Dialpad Support for contact centers or Dialpad Sell for outbound outreach.
Manage business numbers across teams and locations
As your business grows, adding a number shouldn't require a support ticket. In Dialpad, admins can add local or toll-free numbers, reassign numbers when people change roles, and hold unused numbers in a reserved pool. Each user or shared line can have up to 30 numbers. For larger rollouts, automatic user provisioning with Google Workspace, Microsoft 365, Okta, and OneLogin can shorten setup.
That flexibility holds up at scale. RE/MAX migrated about a thousand numbers at its headquarters to Dialpad within a six-week timeframe. Xero consolidated the phone systems across its 17 offices onto Dialpad Connect, saving more than $500,000 a year in communications costs.
Let an AI receptionist answer when your team can't
Your main line or department can route calls to Dialpad AI Agents during open or closed hours. Working as an AI receptionist, an agent can greet callers after hours or during busy periods, answer common questions, and pass the call to your team with context such as the reason for the call. AI Agents are available on the Dialpad platform along with Dialpad's unified communications, contact center, and sales outreach solutions.
Security built on a foundation of trust
Dialpad supports business communications for organizations of many sizes. Its security, privacy, and compliance information is published in the Dialpad Trust Center. You can review current certifications, reports, and policies there to confirm Dialpad meets your organization's requirements.
“You just type in the area code and there’s always a list. I’ve never not been able to get one, and then it’s attached to a phone and done. It’s just super quick to provision a phone.”
