Call center transcription
Capture every customer conversation as a real-time, searchable transcript, then put it to work. In Dialpad's AI platform for customer experience, transcripts feed quality assurance, live coaching, AI CSAT, and your CRM, so every interaction can turn into operational insight.

What is call center transcription?
Call center transcription is the use of speech-to-text technology to convert customer calls into written, searchable transcripts, either live during the conversation or after it ends. Contact center transcription typically covers inbound and outbound calls and voicemails, and becomes the foundation for quality assurance, agent coaching, sentiment analysis, and customer reporting.
A transcript on its own is a record. The value comes from what a contact center does with it. When transcription runs inside the same platform as your calls, routing, analytics, and AI agents, every conversation can become part of the conversation intelligence your team uses to make better decisions. That is the difference between storing interactions and understanding your customers.
With Dialpad, transcription is native to Dialpad Support for contact centers, so there is no separate transcription tool to buy, connect, or reconcile with the rest of your customer data.
Real-time vs. post-call transcription
Post-call transcription tells you what happened. Real-time transcription lets you act while the customer is still on the line. Dialpad does both: a live transcript appears during the call, and the same transcript is saved to a searchable call summary when the call ends.
Real-time transcription | Post-call transcription | |
|---|---|---|
When it's available | During the call | After the call ends |
Who uses it | Agents and supervisors in the moment | QA analysts, managers, and operations teams |
What it enables | Live coaching, supervisor intervention, in-call guidance | QA scoring, call review, trend analysis, CRM records |
In Dialpad | Live transcript panel, live sentiment, AI Live Coach | Call summary with searchable transcript, AI Recaps, AI Scorecards |
See the conversation as it happens
Dialpad transcribes calls in real time, so agents and supervisors can follow a live transcript while the customer is still on the line. When the call ends, the same transcript is saved automatically, with nothing extra to process or upload.

Spot calls that need attention
Supervisors can monitor multiple active calls at once, scanning live transcripts and real-time sentiment to see which conversations may need support. From there, they can listen in, whisper to the agent, or barge into the call if needed.

Guide agents in the moment
AI Live Coach can surface the right talking points when specific topics come up in a conversation, such as a refund question or a competitor's name. Managers create the guidance once and set it to appear for agents automatically when the conversation calls for it.

Spot trends, risks, and churn signals
Dialpad AI can detect each call's purpose and tag it to a category automatically, so supervisors can see why customers are calling without reading every transcript. Custom Moments track how often specific words or topics come up, such as a competitor's name, a product issue, or cancellation language. Together with contact center analytics, these signals can help teams catch recurring problems and at-risk customers earlier.

How do call notes and transcripts get into your CRM?
Manual after-call work can take up a meaningful share of agent time, and it is often where customer records go incomplete. In Dialpad, the transcript is the starting point for post-call automation: AI Recaps generate a summary, action items, and the call's outcome. With supported contact center integrations like Salesforce, HubSpot, Zoho CRM, and ServiceNow, call activity, AI-generated summaries, and transcript links can log to the matching customer record without an agent copying notes by hand. Depending on the integration and its configuration, logged data can also include action items, call purpose, and AI CSAT scores.

Review and control call transcripts
Review and share after the call
When a call ends, the call summary brings together the transcript, recording, key moments, and action items. Teams can search a transcript for an exact word or phrase, comment and tag teammates, and share a link with anyone who needs the context.
Control what gets transcribed
Admins can set transcription for inbound calls, outbound calls, or both, and agents can turn it on or off from the active call screen. Exception lists can exclude specific numbers, area codes, or country codes from recording and transcription, which can help teams account for all-party consent requirements. When a shared line uses AI transcription without recording, Dialpad plays a distinct greeting so callers know the call is being transcribed.
Why use call transcription if you already record calls?
A recording captures what was said, but finding a specific moment means listening back. A transcript can be searched for an exact word or phrase, scanned quickly, and read by teammates who need context. Transcripts are also what AI features like summaries, AI Scorecards, and AI CSAT analyze, and they can make conversations more accessible for people with hearing loss. Many contact centers use both: the recording as the full record and the transcript as the way to find, review, and act on what happened.
How long are call transcripts kept?
Dialpad retains transcripts until you choose to delete them, so teams can keep a searchable record for as long as they need it. Enterprise customers can set their own retention policies to remove, archive, or anonymize data on a custom schedule, which can help organizations in healthcare, financial services, and other regulated industries align transcript storage with their data retention requirements.
From transcript to operational insight
Most contact centers review a small sample of calls by hand, which means most of what customers say never informs a decision. With transcription built into Dialpad, the same transcript that captures a conversation can also score it, measure satisfaction, and surface patterns across every call your team handles.
Scale quality assurance beyond spot checks
AI Scorecards evaluate calls against your own QA criteria using the transcript, so managers can review far more conversations than manual scoring allows. Because scoring is grounded in the transcript, feedback can point to what was actually said on the call, giving managers evidence to coach from instead of impressions.
Measure customer satisfaction without relying only on surveys
Survey response rates typically capture a small share of customers. AI CSAT uses the conversation itself to generate a satisfaction score for calls, along with explanations of what influenced each score. That gives support leaders a broader view of how customers feel after a phone interaction, including the customers who never answer a survey.
Turn conversations into shared intelligence
Because calls, transcripts, and AI insights live on one platform, the patterns your team finds come from the same source as the conversations themselves. Support, sales, and operations leaders can work from a shared view of what customers are saying, which helps the whole business develop a deeper understanding of its customers over time.
How transcription connects human agents and AI agents
In many contact centers, AI and human customer service run on separate systems, so context can get lost at the handoff and customers need to repeat themselves. Because Dialpad AI Agents and Dialpad Support for contact centers share one platform, the conversation record travels with the customer. This way, human agents can start from what the AI agent already learned instead of rebuilding the story, and complex issues can reach resolution faster.
Full context when an AI agent escalates
When a Dialpad AI Agent hands a voice or digital conversation to a human, the agent who picks up sees a summary of what already happened. Depending on the interaction, that context can include the reason for the contact, the customer identifier, why the conversation escalated, the steps already attempted, customer sentiment, verification status, and the outcome the customer is asking for.
Find automation opportunities in your own calls
Transcripts of human-handled calls show what customers actually ask for most. Skill Mining analyzes voice transcripts from your contact center's human-to-human calls and recommends AI agent skills, along with the share of calls each skill could handle. Teams can create a recommended skill in one click, with its name, description, and steps pre-filled, then test and refine it before deploying it to customers.
Oversight as AI takes on more
As AI agents move from answering questions to taking action in business systems, oversight matters more. Guardian, Dialpad's AI safety layer, monitors AI Agent activity to help reduce data exposure risk and flag harmful or out-of-scope content. AI agent conversations are also captured in conversation history, so teams can review them alongside human-handled calls.
Accuracy, languages, and security
Accuracy built for business conversations
Transcription accuracy is the base layer for every insight that follows. If a transcript misses a product name, the scorecard, summary, and trend report built on it can miss it too. Dialpad AI is trained on an extensive selection of business conversations, and admins can add product names, industry terms, and other custom vocabulary to a company dictionary to help improve recognition of the words that matter to their business.
Multi-language transcription
Dialpad AI transcription supports multiple languages, including English, Spanish, French, and Japanese. The AI language can be set by contact center, team, user, or individual contact, and agents can choose the language from the call bar before transcription starts. The Dialpad Help Center lists the current languages and which AI features are available in each.
Security and data controls
Dialpad's infrastructure and processes are annually certified against ISO 27001, ISO 27017, and ISO 27018. Customer data is not shared with public AI models, admins can choose whether their data is used to help train Dialpad AI, and enterprise customers can set their own retention policies. PII Redaction, currently available through an early adopter program, can detect and redact sensitive numeric data such as payment card and Social Security numbers from transcripts. Certifications and compliance documentation are published in the Dialpad Trust Center.

What to look for in call center transcription software
A useful question to ask about call center transcription software is not just how well it transcribes, but what happens to the transcript next. Standalone transcription tools can capture the words, but connecting them to your contact center, QA process, and CRM can add integrations, data handoffs, and cost. Key features to evaluate:
What to evaluate | Why it matters | How Dialpad approaches it |
|---|---|---|
Real-time and post-call transcripts | Live transcripts enable in-call coaching; post-call transcripts support review and reporting | Both, from the same transcript |
Native to the contact center | Separate tools can mean extra integrations and fragmented customer data | Built into Dialpad Support for contact centers |
QA and coaching built on transcripts | Manual review covers a small sample of calls | AI Scorecards, AI Live Coach, searchable transcripts |
Customer satisfaction beyond surveys | Surveys capture a small share of customers | AI CSAT with explanations |
Trend and topic detection | Patterns across calls inform product, staffing, and retention decisions | Call purpose detection, Custom Moments, analytics |
CRM and helpdesk sync | Manual note entry slows agents and leaves records incomplete | Summaries and transcript links log through supported integrations |
AI agent handoffs | Lost context forces customers to repeat themselves | Shared platform with Dialpad AI Agents |
Language support | Multilingual teams need transcripts in the languages customers speak | Multiple languages; current list in the Help Center |
Security and data controls | Transcripts can contain sensitive customer data | ISO-certified infrastructure, retention controls, PII Redaction (early adopter program) |
